1.  Introduction

This Privacy Policy explains how the Loudoun Coalition on Women and Girls (“LCWAG,” “we,” “us” or “our”) collects, uses, retains and discloses information when you visit https://www.lcwag.org, communicate with us or participate in our programs, events and services.

This Privacy Policy should be read together with our Terms of Use and Cookie Policy.

LCWAG values individual privacy. We want visitors, program participants, donors, subscribers and other members of our community to understand what information we collect, why we collect it and the choices available regarding that information.

2.  Information We Collect

Information You Provide Directly

We may collect personal information that you voluntarily provide when you:

  • Contact us by email or through a website form
  • Register for an event, program or activity
  • Subscribe to an email newsletter
  • Complete a survey
  • Make a donation
  • Submit comments, suggestions or feedback
  • Request information or assistance
  • Participate in an LCWAG youth program Depending on the interaction, this information may include:
  • Name
  • Email address
  • Mailing address
  • Telephone number
  • Organization or affiliation
  • Event or program registration information
  • Donation-related information
  • Survey responses
  • Communications and inquiries
  • Information provided by a parent or legal guardian concerning a minor
  • Any other information you choose to provide

Payment information may be collected and processed directly by a third-party payment processor. LCWAG may receive transaction details, such as the donor’s name, contact information, donation amount and transaction date, but may not receive complete payment-card information.

Information Collected Automatically

When you visit the LCWAG website, LCWAG and its service providers may automatically collect technical and usage information, including:

  • Internet Protocol address
  • Browser type and version
  • Device type
  • Operating system
  • Network information
  • Referring website or page
  • Pages visited
  • Dates and times of visits
  • Website interactions
  • Cookie identifiers and similar technical identifiers

This information may be collected through server logs, cookies, analytics technologies, web beacons and similar tools.

3.  How We Use Information

LCWAG may use information to:

  • Respond to questions, requests and correspondence
  • Administer programs, events and activities
  • Process registrations and donations
  • Send newsletters, organizational announcements and program information
  • Maintain accurate contact records
  • Conduct surveys and evaluate program effectiveness
  • Improve our website, programs and communications

  • Detect or prevent fraud, misuse or technical problems
  • Meet grant reporting and organizational recordkeeping requirements
  • Comply with applicable legal obligations
  • Protect the rights, property, safety and security of LCWAG and others

LCWAG may use survey responses, program information and other data in aggregated or de-identified form for research, reporting, funding applications, program evaluation and public communications.

4.  Cookies and Similar Technologies

The LCWAG website uses cookies and similar technologies. Cookies are small data files stored on a visitor’s computer, mobile device or browser.

The website may use:

  • Strictly necessary cookies to support essential website functions
  • Functional cookies to provide enhanced features and remember preferences
  • Analytics cookies to understand website traffic and usage
  • Third-party cookies associated with embedded content and external services

The Cookie Policy identifies WordPress, Google Analytics, YouTube, Constant Contact and Avada/ThemeFusion technologies used in connection with the website.

LCWAG does not use cookies for targeted or behavioral advertising and does not sell cookie-derived information to third parties. Third-party providers may process information according to their own privacy policies.

5. Analytics

LCWAG uses Google Analytics to understand how visitors interact with the website and to measure and improve website content and performance.

Google Analytics may use cookies or similar identifiers to collect information about website activity. According to the LCWAG Cookie Policy, Google Analytics is used under a data-processing agreement that restricts Google’s use of collected data for advertising purposes.

Visitors may limit analytics collection through browser settings or the Google Analytics opt-out browser tool described in the Cookie Policy.

6.  Embedded Content and Third-Party Services

The LCWAG website and communications may use or contain links to third-party services, including:

  • YouTube
  • Constant Contact
  • Avada/ThemeFusion
  • Eventbrite
  • Donation and payment-processing services
  • Social media platforms

YouTube may collect information when a visitor views or interacts with an embedded video. Constant Contact may process information associated with newsletter subscriptions, email delivery, email openings and link interactions.

LCWAG does not control the privacy, security or data-handling practices of these third parties. Information collected directly by a third-party service is governed by that provider’s privacy policy and terms.

Visitors should review the applicable third-party privacy policies before providing information or interacting with embedded content.

7.  Web Beacons and Email Tracking

LCWAG and its email service providers may use web beacons, tracking pixels or similar technologies in web pages and HTML emails. These technologies may be used to:

  • Monitor website traffic patterns
  • Measure whether an email was opened
  • Measure interactions with email content
  • Evaluate the effectiveness of communications
  • Improve website and email performance

You may reduce email-based tracking by configuring your email client to display messages in plain-text format. You may also unsubscribe from LCWAG marketing or newsletter communications by using the unsubscribe link in an email or contacting coalitionchair@lcwag.org.

Unsubscribing from promotional communications does not prevent LCWAG from sending communications necessary to administer a transaction, registration, program or request.

8.  How We Share Information

LCWAG does not sell personal information. LCWAG may share information:

  • With service providers that host, maintain, secure or support the website
  • With registration, email, analytics, payment or program-management providers
  • With contractors assisting with an LCWAG program or event
  • With grant-making organizations in aggregated, de-identified or appropriately limited form
  • With a parent or legal guardian concerning a minor’s participation
  • When required by law, court order or valid legal process
  • When reasonably necessary to protect rights, property, safety or security
  • In connection with an organizational restructuring or transfer, subject to applicable law

Service providers are expected to use information only as necessary to provide services to LCWAG, subject to their agreements and applicable law.

LCWAG may disclose aggregated or de-identified statistical and demographic information that does not reasonably identify an individual.

9.  Website Hosting and Processing in the United States

The LCWAG website is hosted through HostGator.

HostGator and other website service providers may process technical information necessary to deliver, maintain, troubleshoot and secure the website.

The LCWAG website is hosted in the United States. If you access the website from outside the United States, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction. This disclosure is also contained in the Terms of Use.

10.  Data Retention

LCWAG retains personal information only for as long as reasonably necessary to fulfill the purpose for which it was collected, administer its programs, comply with legal or financial obligations, resolve disputes and maintain appropriate organizational records.

Retention may depend on the category of information:

  • General inquiries and correspondence: retained while the inquiry is active and for an appropriate administrative period afterward
  • Newsletter subscription information: retained until the subscriber unsubscribes or LCWAG discontinues the mailing list, subject to retaining limited suppression records
  • Program and event records: retained for the period necessary to administer the program, document participation and meet reporting or recordkeeping obligations
  • Donation and financial records: retained according to applicable tax, accounting and nonprofit recordkeeping requirements
  • Survey responses: retained for program evaluation, research and reporting, with identifying information removed or limited when reasonably possible
  • Website analytics: retained according to the settings and retention periods used by the applicable analytics provider
  • Cookie information: retained for the periods described in the Cookie Policy
  • Youth-program information: retained only as reasonably necessary to administer the program, meet safety and legal requirements and maintain appropriate records
  • Privacy requests: retained as necessary to document and comply with the request

When information is no longer reasonably necessary, LCWAG may delete, anonymize or securely dispose of it.

Important consistency note: The Terms of Use presently state that the Privacy Policy contains “specific retention periods for each category of data.” The source documents do not establish fixed periods for most categories. Unless LCWAG adopts a formal retention schedule with exact periods, the Terms should instead say that the Privacy Policy “describes LCWAG’s data-retention practices.”

11. Your Privacy Choices and Requests

Subject to applicable law and reasonable verification, you may ask LCWAG to:

  • Confirm whether LCWAG maintains personal information about you
  • Provide access to personal information associated with you
  • Correct inaccurate or incomplete personal information
  • Delete personal information
  • Provide a portable copy of information you supplied, when reasonably feasible
  • Stop sending newsletter or promotional communications
  • Limit certain disclosures to third parties
  • Explain how information is collected, used or shared

  • Privacy Correction Request
  • Privacy Appeal

LCWAG may need to verify your identity before completing a request. LCWAG may deny or limit a request when retention or disclosure is required by law, necessary for security, needed to complete a requested service or otherwise permitted under applicable law.

LCWAG will endeavor to respond to inquiries within 30 business days. The Terms of Use use the same response commitment. If LCWAG declines a Virginia privacy request, you may submit an appeal using the subject line “Virginia Privacy Appeal.”

12.  Children and Youth Programs

The general LCWAG website, including general contact forms, newsletter subscriptions and event registration functions, is intended primarily for adults.

LCWAG operates programs that may include participants under 18, including Girl emPower. For programs involving a minor:

  • A parent or legal guardian must provide consent and, when applicable, submit information on the minor’s behalf
  • LCWAG will collect only information reasonably necessary to administer the program
  • Information may be used for registration, communications, program operation, safety, evaluation and recordkeeping
  • Information may be shared with contractors or service providers whose work is necessary to administer the program
  • Information may be disclosed when required by law or necessary during a health or safety emergency Before collecting personal information relating to a child under 13, LCWAG will:
  • Provide direct notice to the child’s parent or legal guardian
  • Describe the information to be collected
  • Explain how the information will be used and disclosed
  • Explain how the parent or guardian may review or request deletion of the information
  • Obtain verifiable parental or legal-guardian consent, except where applicable law permits collection without prior consent LCWAG will not require a child to disclose more information than is reasonably necessary to participate in an activity.

A parent or legal guardian may withdraw consent, request access to the child’s information, request correction or deletion or ask LCWAG to stop further collection by contacting coalitionchair@lcwag.org.

These provisions match the parental notice and consent commitments in the Terms of Use.

13.  Data Security

LCWAG uses reasonable administrative, technical and organizational safeguards designed to protect information against loss, misuse, unauthorized access, disclosure or alteration.

However, no Internet transmission, electronic-storage system or security measure can be guaranteed to be completely secure. LCWAG therefore cannot guarantee the absolute security of information transmitted to or maintained by LCWAG.

14.  Do Not Track and Global Privacy Control

Some browsers transmit a Do Not Track signal. The LCWAG website does not currently alter its data-collection practices in response to a Do Not Track signal because no uniform technical standard governs such signals.

The Cookie Policy states that LCWAG is preparing to recognize Global Privacy Control and other applicable universal opt-out signals as required.

LCWAG will update its policies and technical practices when necessary to reflect applicable requirements.

15.  California Residents

LCWAG is a nonprofit organization and is generally exempt from the California Consumer Privacy Act and California Privacy Rights Act. As a matter of transparency and good practice:

  • LCWAG does not sell personal information
  • LCWAG does not use personal information collected through cookies for cross-context behavioral advertising
  • California residents may submit privacy questions or requests to coalitionchair@lcwag.org with the subject line “CPRA Rights Request”

Nothing in this Privacy Policy is intended to limit a right that cannot lawfully be waived.

16.  Virginia Residents

LCWAG is a Virginia nonstock corporation and, as a nonprofit organization, is generally exempt from the Virginia Consumer Data Protection Act.

As a matter of transparency and good practice, Virginia residents may contact LCWAG to request access to, correction of or deletion of personal information.

Requests should be sent to coalitionchair@lcwag.org with the subject line “Virginia Privacy Rights Request.”

If LCWAG declines to act on a request, the requester may submit an appeal using the subject line “Virginia Privacy Appeal.”

17.  Links to Other Websites

The LCWAG website may contain links to websites operated by third parties.

This Privacy Policy applies only to LCWAG’s handling of information. LCWAG is not responsible for the content, security, privacy practices or data-handling practices of external websites or services.

18.  Changes to This Privacy Policy

LCWAG may update this Privacy Policy to reflect changes in its programs, website technology, service providers or legal obligations. When LCWAG makes a change, it will update the “Last Updated” date at the top of the policy.

Material changes will be communicated through a prominent notice on the website and, when feasible, directly by email. This notice approach is consistent with the Terms of Use and Cookie Policy.

Continued use of the website following notice does not waive rights provided by applicable privacy law.
